Construction Administration

TIMELINE Single family home: 12 - 18 months, Multifamily: 22-30 months

During phase 05, our role at Polyform Architecture becomes both hands-on and multifaceted as the project moves into construction.

Although the Issued for Construction (IFC) documentation is designed to provide a complete basis for construction, there will always be additional details, drawings, and shop drawings submitted by suppliers, subcontractors, and specialists. We review and coordinate these to ensure they align with the overall design intent and are in general conformance with the contract documents.

Throughout construction, we remain actively involved by responding to contractor requests for information (RFIs), reviewing change orders (COs) and shop drawings (SDs), helping resolve site issues, attending bi-weekly site meetings and maintaining a strong presence to monitor progress, quality, and conformance to the contract documents.

We often also serve as Contract Administrator (CA), a formal role that involves managing the construction contract, certifying payments, and ensuring all parties are treated fairly and consistently. In some cases, a Cost Consultant may take on the CA role, which can allow us to focus more fully on design integrity and quality control without the potential tension of also enforcing contract terms.

Whether we act as CA or collaborate with one, our goal is to keep the construction process running smoothly, with open communication, mutual respect, and an unwavering focus on delivering a high-quality result.

Upon Substantial Completion, we create and execute a punch list for building envelope, life safety and any building code related items. We then issue a certificate of substantial completion and authorize the release of the final payment and holdback.

We assist in the collection of final documentation for occupancy and attend final inspections and life safety demonstrations by the building inspector and fire department
